Update Zendesk articles after a release

A release can make the same sentence wrong in every language of an article. This guide takes one Zendesk article from the release to a fix in each language.

Before you start

  • Zendesk is connected. See Connect Zendesk Guide.
  • An owner can choose what your articles follow.
  • Help center is on Review first, so you see the first fix before it is applied.

1. Follow what shipped and watch the article

  1. On the Zendesk card on the Pages tab, an owner sets Help articles follow to a repo or a changelog URL.
  2. Select Browse, open the section and select Watch on the article. All its languages are watched with it. Drafts are listed too, marked Draft.

2. Check a release

Daily checks find new releases or changelog entries. If the card follows a repo, Check recent changes on Home shows a result today. A release that makes nothing wrong drafts nothing.

In this made-up example, reset links now expire after 1 hour instead of 24.

Before: The reset link works for 24 hours.

After: The reset link works for 1 hour.

de: Der Link ist 1 Stunde lang gültig.

fr: Le lien reste valable 1 heure.

3. Review the fix and each language

  • Open the fix in the Queue. Read the change it links to.
  • Check the source sentence first. If it is wrong, select Dismiss.
  • Then read each language row. A Ready row passed the checks. A Check it or Not found row needs you.
  • Select Dismiss this language for one you do not accept. The other languages still go.
A pending Zendesk correction in the Queue: the article text before and after, and one row per language with Ready or Check it.

4. Update it and check Zendesk

  • Select Update in Zendesk. The article and each Ready language are edited in place. A published article stays published and a draft stays a draft.
  • If someone edited the article since the fix was drafted, nothing is written.
  • Open the article in Zendesk and read each language.
  • For 30 days, Undo in the Queue writes the old text back. See Review and undo.

If a language is missing

  1. Set the languages every article should have under Help-center languages in Settings, Integrations.
  2. On the Pages tab, open the watched article. Under Missing languages, select Draft translation.
  3. It spends credits and is saved as a draft in Zendesk for you to publish. See Help-center languages.

If no fix appears

Check that the article is watched and the card follows the right repo or changelog. See Troubleshooting.
